Carbon Calculator Data Sharing Terms

Acceptance of these terms is required to access and use the Carbon Calculator within the Supply Chain Sustainability School platform.

To access the Carbon Calculator, your organisation must also provide a valid Company Registration Number (CRN) within its School account profile.

Your company’s CRN is used by the platform to support matching where another organisation identifies your company within its supply chain for carbon reporting purposes.

If your organisation has not accepted these terms, the Carbon Calculator will not be accessible.

By accepting these terms and continuing to the Carbon Calculator, you acknowledge and agree to the following.

 

1. Purpose of the Carbon Calculator

The Carbon Calculator (the “Calculator”) enables organisations to measure, report and share company carbon emissions data, and to collect supply chain carbon data, to support sustainability reporting, supply chain engagement and emissions reduction.

In these terms, references to client organisation and reporting organisation describe how an organisation is using the Calculator in a particular context. The same organisation may act in more than one of these roles within the platform.

The Calculator supports two connected user journeys:

  • Supply Chain Sustainability School members and other reporting organisations can use the Calculator to calculate their own emissions within the platform or, where they already know their emissions, record existing emissions data in the platform.
  • Supply Chain Sustainability School partners and other client organisations can request emissions data from organisations in their supply chain in order to support supply chain emissions reporting, engagement and improvement.

These terms apply to all organisations using the Calculator, including Supply Chain Sustainability School partners and School members.

 

2. Use of CRN and organisation matching

Your organisation’s CRN is used by the platform to support organisation identification, matching and data sharing workflows.

By accepting these terms, you acknowledge and agree that the platform may use your CRN to:

  • identify your organisation within the School platform
  • match your organisation to a client organisation that has identified you within its supply chain
  • support the request, sharing and reporting workflows described in these terms

Providing a valid CRN is therefore a condition of access to the Calculator.

 

3. How emissions data is created, estimated and shared

The Calculator may be used by a reporting organisation to:

  • calculate its emissions using activity data entered into the platform, or
  • record emissions figures already calculated outside the platform

Where a reporting organisation has not yet shared emissions data with a client organisation, the platform may, where applicable, generate an estimated emissions figure for reporting purposes using information such as:

  • the client organisation’s spend data relating to that reporting organisation
  • the reporting organisation’s CRN
  • publicly available company classification information, including Standard Industrial Classification (SIC) codes obtained from public sources such as Companies House
  • relevant conversion factors or estimation methodologies used within the platform

Where a reporting organisation later shares its own emissions data through the platform, those estimated figures may be replaced or supplemented by data derived from the reporting organisation’s own reported or calculated emissions data.

Where a reporting organisation chooses to share its data with a client organisation through the platform, the client organisation will not see the reporting organisation’s full emissions data by default.

Instead, where applicable, the platform may calculate and display to the client organisation:

  • emissions apportioned to that client organisation based on the spend data the client organisation has provided in relation to that reporting organisation, and
  • relevant intensity ratios derived from the reporting organisation’s emissions data

This means the platform supports both:

  • reporting organisations measuring or reporting their own emissions, and
  • client organisations receiving estimated or apportioned supply chain emissions data for their own reporting purposes

 

4. Visibility of organisations and emissions data

Organisations are not visible to others by default within the Calculator.

A reporting organisation will only be visible to another organisation where:

  • emissions data has been shared between them through the platform, or
  • another organisation has identified that organisation within its supply chain and is seeking emissions data from it through the platform

Each reporting organisation controls which client organisations it chooses to share emissions data with through the Calculator.

Emissions data will not be visible to other organisations unless it has been intentionally shared through the platform, except that the platform may generate estimated emissions outputs for client reporting purposes as described in section 3.

A client organisation:

  • will not be able to see the reporting organisation’s other client relationships or data sharing arrangements
  • will not be able to see the reporting organisation’s full emissions totals through the client sharing workflow
  • will ordinarily only be able to see the estimated emissions outputs, apportioned emissions outputs and intensity ratios made available to it through the relevant platform workflow

 

5. Reporting contact details

The platform may display the relevant reporting contact associated with an organisation in order to support requests for emissions data and related engagement.

By accepting these terms, you acknowledge and agree that if another organisation identifies your organisation within its supply chain and seeks emissions data from you through the platform, the platform may display relevant contact details to facilitate communication and allow both parties to understand:

  • which organisation is requesting data, and
  • who should respond on behalf of the reporting organisation

This may occur where:

  • another organisation has identified your organisation within its supply chain and is seeking to request emissions data from you
  • data has been shared between organisations through the platform
  • the platform needs to support reporting queries, clarification requests or amendment requests

For this purpose, the platform may display the relevant details of:

  • a Carbon Reporter user associated with your organisation’s account, where such a role exists and is managed via your School company profile, or
  • your organisation’s School administrator / account owner where no Carbon Reporter role has been assigned

In these cases, the relevant reporting contact details may be visible to enable organisations to engage with the appropriate person regarding:

  • requests for emissions data
  • emissions data submissions
  • reporting queries
  • requests for clarification or amendments
  • supply chain carbon reporting engagement

Only the designated reporting contact associated with the organisation’s School account will be visible for this purpose.

 

6. Use of emissions data for client reporting

Client organisations receiving emissions data may use this information to estimate emissions associated with their purchases or activities.

This may include apportioning emissions based on the value of spend with an organisation, where the receiving organisation provides the spend data through the platform.

Where this functionality is used:

  • the reporting organisation decides whether to share data with that client organisation,
  • the client organisation provides its own spend data for the relevant reporting organisation, and
  • the platform calculates the apportioned emissions associated with that client organisation on that basis.

This approach supports supply chain emissions reporting and helps client organisations better understand the emissions associated with their procurement activities.

 

7. Aggregated benchmarking and industry insights

Data submitted through the Carbon Calculator may be used in an anonymised and aggregated form to produce:

  • industry benchmarks
  • sector insights
  • research reports on emissions trends

Any such analysis will be carried out in a way that does not identify organisations or allow data to be linked back to an individual organisation.

 

8. Responsible use and collaboration

The Calculator and the information made available through it should be used in good faith and for legitimate sustainability reporting, engagement and improvement purposes.

The Calculator is intended to support constructive engagement between organisations and their supply chains.

Organisations using the platform are expected to use the information shared to:

  • improve understanding of supply chain emissions
  • support collaboration on emissions reduction
  • identify opportunities for improvement across projects, organisations and supply chains

The platform and the information made available through it are not intended to be used to unfairly penalise, misrepresent, commercially disadvantage or castigate organisations solely on the basis of emissions data, estimates, apportioned outputs or intensity ratios.

9. Data protection, storage and GDPR

Personal data processed through the Carbon Calculator will be handled in accordance with applicable data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Processing of personal data may rely on one or more lawful bases under UK GDPR, including:

  • consent, where users explicitly accept these terms, and
  • legitimate interests, where data is processed to support sustainability reporting and engagement between participating organisations

Appropriate technical and organisational measures are implemented to ensure personal data is processed securely.

Data submitted through the Carbon Calculator is stored on Amazon Web Services servers in London, United Kingdom.

 

10. Relationship with School policies

Use of the Carbon Calculator forms part of the Supply Chain Sustainability School platform and is also subject to the School’s broader policies, including:

These documents explain how personal data is collected, used, stored and protected when using the School’s services.

 

11. Acceptance

By accepting these terms and proceeding to the Carbon Calculator, you confirm that:

  • you understand and agree to the data sharing arrangements described above
  • you understand that your organisation’s CRN will be used to support matching and reporting workflows within the platform
  • you understand that, where another organisation has identified your organisation in its supply chain, the platform may display the relevant reporting contact details described above in order to facilitate communication and data request
  • you are authorised to accept these terms on behalf of your organisation where required
